You will be a trusted right hand to healthcare professionals, handling administrative workflows across scheduling, documentation, communication, and operational coordination.
What You’ll Do
You will support day-to-day healthcare administration with accuracy, timeliness, and professionalism. Your work will ensure internal teams, providers, and patients have the information and support they need.
Core responsibilities include:
- Manage calendars, appointments, and scheduling across providers, patients, and teams
- Coordinate patient communication, reminders, follow-ups, and outreach
- Handle email correspondence with patients, vendors, and internal staff
- Prepare and organize healthcare documents, forms, referrals, and reports
- Maintain patient records and update information with confidentiality and compliance
- Verify insurance details, benefits, and eligibility as required
- Support billing & invoicing workflows, claims tracking, and payment follow-ups
- Assist with intake forms, authorizations, and documentation processing
- Triage inquiries and escalate clinical or urgent matters to the appropriate team
- Use AI and productivity tools to draft responses, summarize threads, and automate repetitive tasks
- Maintain organized SOPs, documentation, checklists, and workflows
We’re Looking For
You are detail-oriented, empathetic, and comfortable working with sensitive healthcare information. You combine strong communication skills with operational discipline to support teams and patients alike.
You should have:
- Prior experience in healthcare administration, medical office support, or similar VA roles
- Strong written communication and phone professionalism
- Ability to manage schedules and operations with precision and clarity
- Comfort with medical terminology, insurance basics, and clinical workflows
- Ability to maintain confidentiality, accuracy, and compliance
Nice to Have:
- Experience with EMR/EHR platforms
- Insurance verification and claims follow-up experience
- Prior remote work experience
